MENARINI HELLAS – CONGRESS & EVENTS MANAGER

Menarini Hellas seeks to recruit a Congresses and Events Manager.

Position scope:

The Congresses & Events Manager leads the Congresses & Events department, coordinating all scientific and corporate events, meetings and training events, in line with company policies and procedures and in compliance with all relevant laws and regulations. 

Reporting Line:

Reports directly to Business Development Manager & Commercial Operations Coordinator.

Key accountabilities are:

Department Coordination:

  • Serve as the central representative and communication point for the Congresses department.
  • Oversee the overall management of all scientific and corporate events, meetings and training, ensuring alignment with company policies and legal compliance.
  • Manage, optimize and ensure the continuous improvement of event coordination activities, focusing on cost, quality, service and supplier performance. 

Compliance & Regulation Management:

  • Oversee the Third-Party Due Diligence process for Congress Dept suppliers and assure compliance with internal policies.
  • Review and supervise the Disclosure of Transfer of Value (ToV) process.
  • Monitor and stay updated on legislation and regulations from EOF and SFEE and communicate relevant information to internal stakeholders.
  • Act as the primary contact person with EOF for matters related to Scientific Events & Sponsorship.
  • Supervise and ensure correct data entry into the EOF platform.
  • Assure compliance on all activities to ensure that business and ethical standards are maintained.

Audit Coordination & Financial Oversight:

  • Oversee internal audit processes and monitoring for backup spends by Congress officers and act as the primary contact person for Auditors.
  • Maintain records of events, prepare reports about meetings held and provide information to related parties.

Event Execution & Coordination:

  • Personally manage and execute all Company Events & Training meetings for staff.
  • Oversee the organization of scientific events/meetings in Greece and abroad, in agreement with marketing strategies.
  • Review and verify comparative tables within the Bwise approval platform.
  • Approve and sign Purchase Orders for suppliers.
  • Review and approve contracts with suppliers for Congresses & Events.
  • Coordinate the Congress department for joint Scientific Events and for quarterly Cycle Meetings.
  • Manage and resolve issues with internal and external stakeholders. 

Desired Skills and Qualifications are: 

  • University Degree in Business, Communication, PR or Management.
  • Fluency in English / Fully computer literate.
  • Professional experience of at least 5 years in a Pharmaceutical or Consumer Healthcare company.
  • Experience in managing teams.
  • In-depth knowledge of relevant legislation, EOF and SFEE regulations, corporate platforms, and company policies.
  • Excellent planning and organizational skills.
  • Excellent leadership, managerial and interpersonal skills.
  • Strong critical thinking and problem-solving abilities.
  • Excellent communication skills, both written and verbal.
  • Self-motivated and team player.
