Health Data Specialists (HeaDS), an Athens (Greece) based CRO with a global reach, is seeking a Clinical Trial Assistant (CTA) for its international Clinical Trials program.

The CTA will provide administrative support to the global clinical project team in various requirements needed to ensure the efficient and effective conduct of clinical trial studies.

Job Description:

  • Assists in the development, handling, distribution, review, filing and archiving of study specific documentation.
  • Assists in quality control activities of clinical study documentation. 
  • Supports inspection readiness of study files and various submission activities.
  • Supports trial project-related meetings and generates meeting agenda, minutes and action items.
  • Act as a central contact for the clinical team for designated project communications, correspondence and associated documentation.
  • Contacts clinical sites for specific requests (e.g. missing documentation, meeting arrangements, etc.).
  • Co-ordinates ordering/dispatch and tracking of trial materials (e.g. Investigators’ Files, lab supplies, drug supplies) as required.
  • Inputs clinical trial information into project management systems in a timely manner ensuring accuracy.
  • Assists in the management of study budgets; co-ordination of Investigator and Vendor payments, tracking of payments and accruals, if applicable.
  • Preparesclinical trials’ contracts.
  • Assists in regulatory activities, as well as in the tracking and distribution of safety reports.
  • Assists in the production of slides, overheads, etc., as needed for project, departmental or sponsor presentations.

Job Requirements:

  • Bachelor’s degree or equivalent qualifications is preferred
  • Minimum 1 year of administrative experience; ideally, CTA working experience at a CRO or Pharma
  • Excellent computer skills with proficiency in Microsoft Office programs (e.g., Microsoft Word, Excel, PowerPoint, Outlook)
  • Good organizational skills, ability to manage multiple tasks and meticulous attention to detail
  • Excellent oral, written and interpersonal communication skills in both Greek & English
  • Customer service orientated
  • Deep understanding of office management procedures
  • Discipline and able to maintain confidentiality
